Q. Where can I find information regarding the convention?

Q. Do I have to be a member to attend the convention?
No. You do not have to be a member to attend the convention; however, we hope you decide that membership is valuable to you. The School-Based Health Alliance is the national voice for school- based health care (SBHC) and the home of SBHC professionals and advocates. Members pay considerably less to attend the convention than non-members. Please visit our membership webpage for information.
Q. My organization has a membership. Do I qualify to register for the convention at the member rate?
Organizational members designate three individuals to receive access to their benefits. Those three individuals are entitled to receive the member rate for registration.
Q. How do I register for the convention?
Online registration is available March 1 – June 7. After this date, registration will only be available onsite and will incur a $25 late fee. Please visit our registration webpage for rates. Substantial discounts are available for registering early! The early bird registration deadline is Friday, May 10. After that date rates will increase.
Q. Do you accept purchase orders?
Yes. A copy of the purchase order and registration form must be submitted together via fax at (202) 638-5879 or email convention@sbh4all.org.
Q. Are there any discounted registrations available?
Yes, for select groups. Undergraduate and graduate students, high school students (Youth Program Only), and presenters.
Q. Do you have a one day rate?
No, we do not have a one day rate. Please visit our registration webpage for rates.
Q. Do you have a group discount?
Yes. Register five to nine people for a five percent discount off the general registration rate and register ten or more people for a ten percent discount off of the general registration rate. Group discount registrations are accepted by mail or fax only. All registrations must be paid for at the same time.
Q. What does the registration fee cover?
The registration fee covers attendance to general session workshops, advocacy day activities, plenaries, and opening reception. Not included: pre-conference workshops, continuing education fees, membership dues, and guest food tickets.
Q. Is there a grant program or scholarships that could cover registration and/or travel expenses?
We have offered scholarships in the past. Please visit our website for available opportunities.
Q. What meals are covered with a full convention registration?
Meal events include breakfast (Monday-Wednesday), luncheon plenary (Monday), and the opening reception.
Q. What is a guest food ticket?
You may purchase guest food tickets for family members or friends for meal events. The cost is $125 for adults and $75 for children ages 4-17.
Q: Is the cost of my hotel room included in my registration fee?
No, the cost is not included. Hotel room reservations may be made via our online link or calling the hotel directly. The rate is $249 for single and double occupancy per room per night and does not include state and local taxes (currently 13%).
Q. Where can I find hotel reservation information?
The deadline for hotel reservations is Friday, May 31, 2019, unless the room block is sold out. The School-Based Health Alliance does not guarantee room availability. Q. Does the hotel offer shuttle service to and from airport?
Yes, complimentary airport shuttle service is provided from Ronald Reagan Washington National Airport (DCA). The shuttle operates from 5:00 am to 11:00 pm 7 days a week. Reserve your shuttle by calling (703) 920-3230.
Q. Does the hotel have parking?
Yes, the hotel has on-site parking for $20 hourly, $39 daily and valet parking $45. Parking is not validated for convention attendees.
Q. I already registered, can I add optional items (pre-conference workshops, continuing education fees, membership dues, guest food tickets)?
Yes, but you cannot add optional items online. To register, complete the registration form selecting only the optional item(s) that you wish to purchase. Your requests must be made via mail, email, or fax by June 7th. After this date, you can purchase continuing education credits, membership dues, and guest food tickets onsite. Registration for pre-conference workshops will NOT be available onsite.
Q. Can I register onsite?
Yes, registrations after June 7th will be accepted onsite. Complete a paper form and bring to the onsite registration desk. An additional fee of $25 will be assessed for all onsite registrations. Optional items such as continuing education credits, membership dues, and guest food tickets can also be purchased onsite. Registration for pre-conference workshops will NOT be available onsite.
Q. Why can’t I purchase pre-conference workshops onsite?
Each workshop has a maximum number of participants based upon room size and learning objectives, so pre-registration is required. The last day to PRE-REGISTER for these workshops is June 7th.
Q: When and how is a registration confirmation sent?
Confirmation is sent via email immediately after you finalize your registration. Your confirmation serves as a receipt and includes other event information.
Q. I registered someone to attend the convention, how do I get a copy of the receipt?
You can request a copy by emailing convention@sbh4all.org. Please include the attendees name in the request.
Q. What is your cancellation policy?
Registration cancellation must be in writing (via mail, email, or fax) and must be postmarked by June 1, 2019. A $60 processing fee will be incurred. No refunds will be issued after June 1, 2019, except in case of medical illness, death, and family emergencies. Emergency cancellations must be approved by convention director.
Q. Can someone take my place if I need to cancel registration?
Yes, alternate attendees will be accepted in lieu of a canceled registrant. Request must be made in writing (via mail, email, or fax).
Q. Can my partner, child, or family member accompany me at convention?
Your family members or friends do not need to pay the registration fee if they are only planning to attend a single general session workshop to see/hear you present. Friends and family who are planning to attend other session workshops are required to register.
Q. Do I have to select workshops ahead of time?
No. Attendees are able to attend any workshop and can change workshop sessions onsite.
Q. Where can I find information on the convention program?
The convention preliminary program is available online. Additionally, the final convention program will be available online and in our app beginning in June. The mobile app will serve as our most up- to-date onsite program.
Q. Will you provide hard copies of speaker handouts?
No. However, presentations and handouts will be available on our website for downloading.
Q. How many hours of continuing education credits will be offered?
The School-Based Health Alliance has applied to provide continuing education credits for Nurses, Pediatric Nurse Practitioners, Health Educators, Social Workers, Medical Doctors and Dental professionals. Attendees have the opportunity to earn approximately 21.75 hours of CEUs.
Q. How do I obtain my continuing education credits?
Participants must attend the entire 2019 National School-Based Health Care Convention and complete the evaluation online in order to earn credit hours and obtain a CE certificate. A link to the online evaluation system will be sent to all registered participants who attend the activity that will contain instructions and a personal ID number for access to the system. All online evaluations must be submitted by August 5, 2019 to receive continuing education credit for this activity.
Q. When and where is the annual convention next year?
The 2020 National School-Based Health Care Convention will begin the week of June 22 at the Sheraton Denver Downtown Hotel in Denver, CO.
Q. When will the call for abstracts open for the 2020 convention?
The call for abstracts will open in late September 2019.
